1. About this policy
NexIT Group Pty Ltd (ABN 26 629 509 299), trading as NexIT Solutions (“NexIT”, “we”, “us” or “our”), respects your privacy. This Privacy Policy explains how we collect, hold, use and disclose personal information, and how we manage it in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
It applies to personal information we collect through nexit.com.au, our enquiry and booking forms, email, phone, WhatsApp and meetings, and in the course of providing our digital marketing, website, software, AI automation and technology services.
“Personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable.
2. The personal information we collect
Depending on how you deal with us, we may collect:
- Contact and identity details — your name, business name, role, email address and phone number.
- Enquiry details — the services you are interested in, information about your project or business, messages you send us, and meeting bookings.
- Client account information — information you provide so we can deliver a service, including access to your website, analytics, advertising, social media or software accounts. These systems can contain personal information about your own customers, which we handle only as needed to deliver the agreed service.
- Payment information — confirmation and reference details for payments you make to us (see Payments).
- Technical and usage information — your IP address, browser and device type, pages viewed, the site that referred you, approximate location and how you interact with our website.
- Communications — records of emails, calls and messages between us.
We do not seek to collect sensitive information, such as health information. If sensitive information is held in systems we access to deliver a service, we handle it only as required for that service, in line with the APPs and our agreement with you.
3. How we collect it
- Directly from you — when you complete a form on our website, email or call us, message us on WhatsApp, book a meeting, attend a meeting or become a client.
- Automatically — through cookies and similar technologies when you use our website (see Cookies, analytics and advertising).
- From others — from your colleagues or authorised representatives when your business engages us, or from publicly available business sources, where it is unreasonable or impracticable to collect the information from you directly.
4. Cookies, analytics and advertising
Cookies are small files stored on your device. We and our providers use cookies and similar technologies for the purposes below.
- Google Analytics 4 (Google LLC) helps us understand how visitors use our website so we can improve it. You can opt out using the Google Analytics Opt-out Browser Add-on.
- Meta Pixel (Meta Platforms, Inc.) helps us measure the effectiveness of our advertising and show relevant ads on Facebook and Instagram. You can manage this through your Facebook ad preferences.
- Cloudflare (Cloudflare, Inc.) protects our website from spam, bots and attacks and helps it load quickly, which can involve strictly necessary cookies.
- Google Fonts (Google LLC) delivers the fonts on our website, which means Google receives your IP address when a page loads.
- Performance caching on our website may set a functional cookie so pages load correctly.
Most browsers let you block or delete cookies. If you block them, some parts of our website may not work as intended.
5. How we use your information
We use personal information to:
- respond to enquiries and provide quotes, proposals and advice;
- deliver, manage and support the services you engage us for;
- arrange meetings and process payments;
- manage our client relationships, invoicing and accounts;
- measure and improve our website, services and advertising;
- send you information about our services, in line with Direct marketing;
- protect our website and business from spam, fraud and security threats; and
- comply with our legal obligations.
We only use or disclose personal information for the purpose we collected it, a related purpose you would reasonably expect, or as otherwise permitted by law.
6. Who we share it with
We share personal information with service providers who help us run our business and deliver our services, including:
- Zoho — business email, hosted in Zoho’s Australian data centre;
- Hostinger — website hosting and email delivery;
- Cloudflare — website delivery and security;
- Google — website analytics, fonts and business tools;
- Meta — advertising measurement, and WhatsApp when you message us;
- Mailchimp (Intuit) — email newsletters, if you subscribe;
- Calendly — meeting bookings;
- our online payment provider, for payments you make to us;
- contractors who help deliver your project, bound by confidentiality obligations; and
- our professional advisers, such as accountants and lawyers.
We may also disclose personal information where required or authorised by law, including to government agencies and regulators. We do not sell personal information.
7. Overseas disclosure
Some of our service providers store or process information outside Australia. Personal information may be disclosed to recipients in the United States, including Google, Meta, Cloudflare, Mailchimp and Calendly, and to other countries where our providers operate.
Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it in a way consistent with the APPs.
8. Direct marketing
We may send you information about our services where you have consented or would reasonably expect it, such as when you are an existing client or have asked us for information. We comply with the Spam Act 2003 (Cth): every marketing email includes an unsubscribe link, and you can opt out at any time by using that link or contacting us.
9. Payments
Where you pay us online, for example for a paid audit, your payment is processed by a third-party payment provider on its own secure payment page. We receive confirmation of the payment and the details needed to identify it. We do not receive or store your full card details.
10. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include encrypted (HTTPS) connections to our website, security and bot-protection services, access controls, and limiting access to people who need it. No method of transmission or storage is completely secure.
Where required under the Notifiable Data Breaches scheme, we will notify affected individuals and the Office of the Australian Information Commissioner of an eligible data breach.
11. How long we keep it
We keep personal information only for as long as we need it for the purposes above or as required by law, such as tax and accounting obligations. When it is no longer needed, we take reasonable steps to destroy it or de-identify it.
12. Access and correction
You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below. We will respond within a reasonable period, usually within 30 days, and we will not charge you for making a request. If we refuse a request, we will explain why in writing, as permitted by law.
13. Dealing with us anonymously
You can browse our website without telling us who you are, and where practicable you may deal with us anonymously or using a pseudonym. To respond to an enquiry or provide a service, we will usually need your name and contact details. Our services are intended for businesses and are not directed at children.
14. Making a complaint
If you believe we have mishandled your personal information, please contact us in writing with details of your concern. We will acknowledge your complaint and aim to respond within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
15. Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be published on this page with its effective date.
